QuickBooks Payments launches in the UK – great news for our small business clients using QuickBooks

We are pleased to share an update that many of our customers who already use QuickBooks will finally be happy to hear. QuickBooks has launched QuickBooks Payments in the UK, giving small businesses a smoother, faster and more convenient way for customers to pay their invoices. For those of you who regularly send invoices through QuickBooks, this could make a real difference to how quickly payments arrive and how little chasing you need to do.

With QuickBooks Payments, you will soon be able to add a secure Pay Now button directly to your invoices. Customers can pay by bank or by card without needing to type in details or move between different apps. Payments go straight through QuickBooks, which means they are automatically matched to the correct invoice. Your bookkeeping updates instantly, and your dashboard will show which invoices are paid, outstanding or overdue. Optional reminders can also be enabled to help reduce late payments.

To benefit fully from this feature, you must be creating and sending your invoices through QuickBooks. This integration will not work if you are using external childcare platforms such as BabyDays to prepare your invoices, as these tools are not accounting software and cannot attach payment buttons or feed information back into your bookkeeping. Using QuickBooks for invoicing ensures everything posts correctly and gives you access to the automatic matching, reminders and real time payment tracking that QuickBooks Payments offers.

We actively encourage our clients to use payment collection services like this because they significantly reduce the common problems we see with underpayments, overpayments and incorrect references. When customers pay directly through a payment link, the amount is fixed, the reference is automatically correct, and reconciliation becomes much easier. For many childcare providers and small businesses, this avoids unnecessary admin and prevents awkward follow ups.

Late payment remains one of the biggest challenges for small businesses, especially in the childcare sector where steady cashflow is essential.
